Frequently Asked Questions
The previous organization historically failed to hold annual meetings for its members and then last August had two failed attempts at conducting an annual meeting to elect a board of directors. When it became apparent that LYFC would not allow new membership within its board, a group of parents and coaches got together and made a decision to form a new youth football and cheer program. Lynnfield Pioneer YFC was formed so that a clearly defined membership pool, including parents of participants, could have an opportunity to vote for its leadership, who could then work together to offer a youth sports program founded on the principles of fairness, communication, and team work.
We believe that the key to a successful program is good communication. For that reason, we have populated our website with our governing documents, including our by-laws, budget, and Policies and Procedures document that we developed to convey the specifics of how the program is being operated. These documents outline several policies that have been adopted to ensure fair and transparent operations, including a code of conduct policy, a conflict of interest policy, and a whistleblower policy that empowers the Chairman of the Lynnfield Recreation Commission to investigate any suspected ethical violations or violations of law. We will continue to utilize our website and other social media outlets to keep members informed of schedules, meetings, points of contact and other key information. We also recognize that many hands make light work and we hope that our membership will be active participants in the program. There will be many volunteer opportunities ahead, including board members, coaches, operations assistants, and game day volunteers.
We will be staying in the same league, playing the same towns we have always competed against. Further, by remaining in the Cape Ann Youth Football league, we will continue to be subject to all of their league requirements including:
- Adherence to the CAYFL Code of Conduct for all coaches and volunteers
- USA Football “Heads Up” certification for all coaches
- CORI validation for all coaches and volunteers
- Concussion certification for all coaches
- Insurance requirements for all Coaches and Players
Yes, Lynnfield Pioneer Youth Football and Cheer, Inc. is a registered non-profit organization in the the state of Massachusetts and is a 501(c)(3) tax exempt public charity. Our Employer Identification Number is 82-3156181.
LYFC does still exist. However, CAYFL will only recognize one program from Lynnfield and our organization has already met the minimum roster requirements for acceptance into CAYFL.
All of the head coaches at each of the returning team levels have expressed support of Lynnfield Pioneer YFC. However, as noted in our Policies and Procedures document included on our website, we have adopted a head coach selection process that entails a majority vote by each of the Board of Directors.
Our organization by-laws, which can be found on our website, define membership to include the following:
- Parents or guardians of registered Lynnfield Pioneer YFC participants (including, in 2018, parents or guardians of 2017 registered LYFC participants)
- Volunteers over the age of 18 who serve Lynnfield Pioneer YFC in a specified role in the year for which they hold such a position, plus one consecutive year thereafter, and
- Upon approval by a 2/3rd vote of the BOD, and under such directions and regulations as may from time to time be provided by the BOD, any other person actively interested in furthering the objectives of Lynnfield Pioneer YFC.
All members have the right to vote at any meeting of the members, in particular the Annual Meeting to elect the Board of Directors.
Our organization by-laws state that the number of directors may vary from year to year, but must be a minimum of five directors. The organization was founded with five directors and was expanded to eleven directors at the Annual Meeting in January, 2018. The 2018 board positions include President, Vice President, Secretary, Treasurer, Director of Cheer, Director of Football, Director of Player Safety, Director of Equipment, Director of Communications, Director of Fundraising, and Director of Fields and Facilities. A list of the board members and their contact information can be found here.
We are attempting to work with LYFC to obtain equipment for the 2018 season. However, we have made plans to purchase new uniforms and equipment should those efforts fail.
Our current fundraising plan involves a combination of direct solicitation from businesses and individuals, grants, corporate sponsorship, apparel sales, and special event revenue. The Director of Fundraising, with the assistance of several sub-committees, will drive these efforts forward throughout 2018. In addition, early participant registration payments will assist with paying for organization start-up costs.
The 2018 registration fee for football participants is $300 and for cheer participants is $200. In our initial year of operations, we determined it was best to stay consistent with historic registration fees. Because we recognize that Lynnfield is one of the highest registration costs in the Cape Ann League, we are hopeful that we can reduce the registration fee in 2019 and beyond, after we have a full year of known operating costs.
Yes, Working together with Lynnfield Rec, Lynnfield Pioneer YFC has secured permits for field access for the 2018 season.
